Privacy Policy
This policy explains what data [LEGAL ENTITY NAME] ("VantaxAI", "we", "us") collects when you use vantaxai.com and the VantaxAI service, why we collect it, and the choices you have. We have tried to write it so you can actually read it.
1. What we collect
- Account data — your email address, name (if you provide one), and password (stored as a salted hash, never in plain text).
- Content you submit — your prompts, conversations, and the documents you upload, so the assistant can respond and your history is available to you.
- Billing data — your plan, subscription status, and order references from our merchant of record. We never receive or store your full card number. Payment details are collected directly by the merchant of record at checkout.
- Usage & technical data — log data such as IP address, browser type, pages visited, and feature usage, used for security and to understand what to improve.
2. How we use it
- To provide the Service: generate responses, store your history, and sync your workspace.
- To operate your subscription: activate plans, manage renewals, and provide support.
- To keep the Service secure: detect abuse, fraud, and unauthorized access.
- To improve the product, using aggregate usage patterns.
- To send transactional email (receipts, renewal notices, support replies). Marketing email is sent only with your consent and always has an unsubscribe link.
We do not sell your personal data.
3. Who we share it with
We share data only with the providers needed to run the Service:
- AI model providers — your prompts and relevant document content are sent to our AI infrastructure providers to generate responses, under agreements that prohibit them from using your content to train their models.
- Merchant of record — our authorized reseller (Polar or Lemon Squeezy, as named at checkout) processes your payment and therefore handles your billing details under its own privacy policy.
- Hosting and email providers — infrastructure vendors that store data and deliver email on our behalf, bound by data-processing agreements.
- Authorities — only if legally required, and only the minimum required.
4. How long we keep it
- Account data and content: for as long as your account exists. You can delete individual conversations at any time; deleting your account removes your content from production systems within 30 days and from backups within 90 days.
- Billing records: kept as long as required by tax and accounting law.
- Server logs: up to 12 months, for security.
5. How we protect it
Data is encrypted in transit (TLS) and at rest. Access to production data is limited to personnel who need it to operate the Service, and payment card data never touches our systems. No internet service can promise perfect security; if a breach affects your data, we will notify you as required by law.
6. Your rights
Depending on where you live (including under GDPR and CCPA), you have the right to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to complain to your local data-protection authority. To exercise any of these, email support@vantaxai.com — we respond to every request within 30 days. We do not discriminate against you for exercising your rights.
7. Cookies
We use strictly necessary cookies to keep you signed in and to remember preferences. We do not use third-party advertising cookies. If we add analytics that require consent under your local law, we will ask first.
8. Children
VantaxAI is not directed at children and requires users to be at least 18 years old. We do not knowingly collect data from minors; if you believe a minor has an account, contact us and we will delete it.
9. Changes to this policy
If we make material changes, we will notify you by email or in the app before they take effect. The "Last updated" date at the top always reflects the current version.
